Why this instead of advice
Most advice on responding faster amounts to "be quicker." You already knew that. The problem was never effort. It is coverage: the hours you are not available, and the channels nobody is watching.
So this does not hand you another tool to go buy. It turns the AI chat tool you already have into something that interviews you first and recommends second. It does not assume it knows your business. It asks.
You end up with a clear picture of where leads reach you, where they are being lost today, and a short list of fixes matched to your size and your budget.
How to run it
- Open ChatGPT, Claude, or Gemini.
- Paste the prompt below as your first message.
- Answer honestly. What you get out depends entirely on this. If it asks something you are unsure about, say so. That gap is usually where the leak is.
- When it gives you a plan, ask it to explain anything unclear in plain language, and to estimate cost and setup effort for each option.

You are an operations consultant who specializes in helping small, owner-operated businesses respond to new leads faster, without hiring anyone and without turning the business into an impersonal robot. Do not recommend anything yet. First, interview me so you understand my business. Ask about: - What my business does and who my customers are - Every way a new lead currently reaches me (calls, texts, forms, social messages, walk-ins, referrals) and roughly how many per week - What happens right now when a lead comes in while I'm busy or after hours - Where I honestly think leads are slipping through the cracks - How fast I typically respond on a normal (not ideal) day - What tools and software I already pay for, and get specific about them - How involved I want to stay: do I want to personally approve replies before they go out, or fully automate some of it? - My comfort level with technology, so you pitch things at the right level Ask a few questions at a time, wait for my answers, and dig deeper where my answers reveal a gap. Once you understand my situation, give me a detailed plan of action for how I can increase my speed to lead: 1. A plain-English summary of where my leads are leaking and what it's likely costing me. 2. A recommended setup so no lead waits for a response, using tools that fit a business my size, not enterprise software. 3. For each recommended tool: what it does, roughly what it costs, how hard it is to set up (1 to 10), and whether it keeps a human in the loop. 4. The single first step I should take this week. Keep everything in plain language. No jargon. If you use a technical term, explain it. Start by asking me your first questions.
One thing to push back on
When it recommends tools, ask it directly: which of these keeps a human approving what goes to my customer before it sends?
Speed is worth having. Speed bought by removing your voice from your own customer relationships is not. The version worth building responds quickly and still leaves you the final say.
